Who we are

What the Service does

FireVantage is a business application for organization accounts. Access is granted by your fire department or agency administrator. The Service helps teams plan inspection routes, complete checklists (including offline after prefetch), capture photos, close inspections, manage property and pre-plan records, and optionally use AI-assisted features when enabled by your organization.

Information we process

• Account data — email, name, role, and authentication identifiers for invited users.
• Operational content — inspection checklists, notes, signatures, photos and videos you attach, property and pre-plan records, schedules, and related audit history your organization stores in the Service.
• Device and location — approximate or precise location when you use features such as Plan My Day routing or when photos include location metadata, subject to device permissions.
• Technical logs — security, audit, and diagnostics needed to operate and protect the Service.

How we use information

We use information to provide the Service to your organization, authenticate users, sync offline field work, generate reports and exports your organization requests, maintain security and audit trails, and improve reliability. We do not sell personal information. We do not use the Service for third-party advertising.

Optional AI features

When your organization enables them, optional features may send inspection photos or assistant prompts to our AI subprocessor (currently OpenAI’s API) for on-demand draft suggestions. AI output is advisory; inspectors remain responsible for official findings. Core inspection workflows work without AI. Organizations can request AI features disabled.

Hosting and subprocessors

Production hosting is on Amazon Web Services (primary region us-east-1), with optional Canadian residency arrangements for enterprise customers. Other subprocessors may include Mapbox for route optimization when configured, and Cognito/SES for identity or invite email when enabled. Retention and organization control

Your organization is the controller of inspection and property records it enters. Retention follows your organization’s configuration and agreements with us. Organization admins can use available export and privacy tools in Settings, or contact us for assistance with access or deletion requests required by applicable law.

Security

We use industry-standard safeguards including encryption in transit (TLS), encryption at rest on managed cloud services, authentication via our identity provider, and organization-scoped access controls. No method of transmission or storage is 100% secure.

Children

The Service is directed to organizational users in fire prevention and related professional roles. It is not directed to children under 13 (or the equivalent minimum age in your jurisdiction).

Changes

We may update this notice from time to time. The “Last updated” date above will change when we do. Material changes for customers under contract will be communicated as required by those agreements.
